### Employees

The employee directory and record: personal, employment and compensation details, probation, documents, leave balances, payslips, termination and rehire, and the org chart.

- What it solves: Employee data lives in spreadsheets and email threads, so nobody trusts which salary, manager or national ID is current.
- Used by: HR Admin, Company Owner, Manager, Employee
- Availability: Every Eldalala plan includes it, the free plan too.
- One record per person that leave, attendance, payroll and insurance all read from.
- Arabic and English names side by side, national ID and IBAN stored encrypted.
- Bulk import from Excel with row-by-row review before anything is saved.
- Leaving is handled end to end: the termination takes effect after the last working day, access ends, and the leaver’s team, approvals and open work are handed over.

What you can do:

- Directory with search, department filter and export

Self check-in with an optional geofence, daily and monthly attendance views, manual punches, correction requests that HR answers, shifts, a company work schedule and timezone, and a My schedule page.

- What it solves: Paper sheets and fingerprint exports are reconciled by hand every month, and lateness is argued about.
- Used by: HR Admin, Manager, Employee
- Availability: Every Eldalala plan includes it, the free plan too.
- Employees check in from the dashboard; the company chooses whether location is ignored, flagged or enforced. Managers and HR staff can check in too.
- Punches, lateness and “today” are judged on the company’s own clock, and night shifts close with the morning punch.
- Shifts with grace periods decide who is late; people without a shift follow the company work schedule.
- Attendance for a month locks once that month’s payroll is finalized.

What you can do:

- Self check-in from the dashboard

### Leave

Leave types with a policy engine (automatic balances, yearly renewal, carry-over, accrual, half days, documents), requests and approvals, the team calendar, public holidays and balance correction requests.

- What it solves: Balances are tracked in a sheet, approvals happen on WhatsApp, and nobody can see who is out next week.
- Used by: Employee, Manager, HR Admin
- Availability: Every Eldalala plan includes it, the free plan too.
- Every employee gets a balance automatically, pro-rated from their hire date; it renews each January with the carry-over rules the company chose.
- Balances move on their own: requested days become pending, approved days become used, cancellations give them back.
- The form shows the real day count before you submit: weekends, holidays and half days are taken into account.
- Sick leave can require a certificate, and emergency leave can be approved on filing.
- Approvals can run through a multi-step workflow with an SLA and escalation.

What you can do:

- Request leave (type, start, end, notes)

### Payroll

Monthly payroll runs (draft → approved → finalized, with reopen and void), manual adjustments, payslips with PDF, the payroll calendar, run comparison, salary register, end-of-service, and the bank file (WPS in Saudi Arabia, a bank-transfer CSV in Egypt).

- What it solves: Payroll is rebuilt in Excel each month and payslips are emailed by hand.
- Used by: Company Owner, HR Admin, Employee
- Availability: It is part of the Starter and Growth plans; the free plan does not include it.
- One click processes a month for everyone employed in it, including people on probation at the company’s probation pay rate; each payslip shows basic, housing, transport, overtime and deductions.
- Loan instalments, salary advances, approved expense claims and the employee’s medical-insurance share flow into the run by themselves, and the owner adds bonuses, commissions and penalties per employee.
- A mistake no longer needs a workaround: reopen a run that is not final, or void the latest finalized one and process the month again.
- Employees download their own payslips in the app; the "payslip ready" email links to it.
- Finalizing a month locks it, including attendance for that month.

What you can do:

- Run Payroll for a month and year (company owner)

### Expenses, Loans & Advances

Expense claims with receipts and categories, employee loans with repayment schedules and an HR company-loans view, and salary advances.

- What it solves: Claims arrive as photos in chat; loans and advances are tracked in a notebook and forgotten at payroll time.
- Used by: Employee, Manager, HR Admin
- Availability: Every Eldalala plan includes it, the free plan too.
- Claims go Draft → Submitted → Manager approved → Finance approved → Reimbursed, with a reason on rejection; reimbursement is paid in the payroll run that finalizes.
- Loans repay in instalments through payroll; HR sees everything owed, records repayments made outside payroll and writes a loan off when needed. Settled loans notify the employee.
- A leaver’s open loans and advances are brought into the final payroll.
- Each category can carry spending limits, and a new workspace starts with a ready list of categories.

- What it solves: Insurance lists are kept by the broker, so leavers stay insured and nobody notices a policy lapsing.
- Used by: HR Admin, Employee
- Availability: Every Eldalala plan includes it, the free plan too.
- Enrol one employee or many at once, with dependents.
- Daily checks expire lapsed cover and alert HR when a terminated employee is still insured.
- Egyptian carriers come pre-loaded from the platform catalogue.

### Recruitment

Requisitions with approval, job postings on a public careers page, the candidate pipeline, interviews, offers with a full lifecycle and e-signature, and conversion to an employee.

- What it solves: CVs sit in an inbox, interviews are booked by phone, and offers are Word files.
- Used by: Recruiter, HR Admin, Manager, Candidate
- Availability: It is part of the Growth plan; the Free and Starter plans do not include it.
- A public careers page per company where candidates apply without an account, that search engines can read and that only shows roles that are really open.
- Every stage change is tracked, with who made it, and the pipeline follows what actually happened: scheduling, completing an interview and answering an offer move the candidate for you.
- Offers can be edited, withdrawn, re-sent and signed electronically; a lapsed offer expires by itself.
- An accepted offer converts the candidate into an employee record.

What you can do:

- Job requisitions: draft → pending approval → approved / rejected, then filled

- What it solves: Reviews happen once a year from memory, and promotions are decided without a record.
- Used by: HR Admin, Manager, Employee
- Availability: It is part of the Starter and Growth plans; the free plan does not include it.
- A cycle moves Draft → Published → Closed; publishing notifies exactly the people in scope, and a cycle closes (by HR or by itself after its end date) with the reviews locked.
- Goals need approval and can be locked for the cycle; employees and managers are told at each step.
- Calibration ties to the ratings employees see, and an approved decision (promotion, pay change, mandatory course) is applied to the employee record.
- Pulse surveys reach only their audience and work without the AI add-on; 360° answers stay anonymous.

### Approvals & Workflows

One inbox for everything waiting on you, multi-step approval workflows with SLAs and escalation, and delegation while away.

- What it solves: Requests stall because the approver is on leave or never saw the message.
- Used by: Manager, HR Admin, Company Owner

- Leave, expense claims, offers and other requests land in one Approvals inbox with a count in the sidebar; you see what you can decide, and others see who the request is waiting on.
- A step past its SLA (48 hours by default) escalates to the approver’s manager, then an HR admin; the job runs hourly and moves every decision the approver held on that step.
- Delegate approvals, tasks or both for a date range, and end a delegation early: requests that were already waiting move with it.
- A workflow that has been used is never lost: it is retired with its history kept, and a request shows where it is stuck.

- Standard roles are created for every company: Company Owner, HR Admin, Recruiter, Manager, Employee. A role’s permissions now decide whether its holders can read payroll, the audit log, email templates, API keys and webhooks.
- Changing a role is guarded and recorded: the owner role stays complete, the last owner cannot lose it, and every change names who made it and who was affected.
- Two-factor can be enforced for nobody, admins and HR, or everyone; an admin can reset a teammate’s two-factor.
- Allowed email domains decide who can join the company, and invitations you sent can be resent or withdrawn.

#### How to add an employee in Eldalala

Create one employee record and give the person access to Eldalala. Who can do it: HR Admin or Company Owner (employees.create).

Before you start:

- The department exists (Employees → Departments).
- You know the work email, position, hire date and basic salary.

Steps:

1. Open Employees → Directory and click Add employee.
2. On Personal, enter First name (English) and Email address. Arabic name, phone and National ID are optional.
3. On Employment, choose the department, position, manager (optional) and hire date.
4. On Compensation, enter the basic salary and any housing and transport allowance, plus the IBAN if known.
5. Click Add employee.

Expected result: The employee appears in the directory and receives a welcome email with sign-in details.

Common errors:

- "The email has already been taken.": The address belongs to an existing user. Use another work email or invite the existing account.
- "The selected department id is invalid.": Pick a department from your company; create it first if needed.

#### How to import employees from Excel in Eldalala

Bring many employees in at once, checking every row before it is saved. Who can do it: HR Admin (employees.import).

Before you start:

- Departments exist.
- Your data is in the template’s 22 columns.

Steps:

1. Open Employees → Directory and click Import, or Imports → New import.
2. Choose the module (Employees) and click Next.
3. Open "What the template expects" to see every column, then upload your file.
4. Wait for validation. Rows with problems are listed with the reason.
5. Review, then process the valid rows.

Expected result: Valid rows become employees; the import shows Completed or Completed with errors.

Common errors:

- "Rows failed validation": Fix them in the file and import those rows again; already-imported rows are not duplicated by the review step.

#### How to set up departments in Eldalala

Organise people into departments and sub-departments. Who can do it: HR Admin (departments.manage).

Steps:

1. Open Employees → Departments. New companies already have departments for their industry; review them first.
2. Click Add department for a top-level department.

Expected result: Departments are available when adding employees and in filters and reports.

Common errors:

- "The name has already been taken.": Department names are unique within a company.

#### How to terminate an employee in Eldalala

Record that someone is leaving and start their exit. Who can do it: HR Admin.

Before you start:

- Agree the last working day.

Steps:

1. Open the employee from the directory and click Terminate.
2. Choose the type, enter the last working day and a reason (required). Tick “End access now” only for a dismissal that must take effect immediately. Leave “Start offboarding now” ticked to open the exit checklist at once, or start it later (see "Offboard a leaver").
3. The employee keeps working and signing in until the end of the last working day. After that they are marked Terminated and their access ends. Their direct reports move to the leaver’s manager, approvals waiting on them move to the next manager or HR, and you receive a handover summary.
4. Leave booked after the last working day is cancelled and leave across it is shortened. Open loans and advances are brought into the final payroll; unused annual leave is listed on the settlement task.

Expected result: Once the last working day has passed the employee is Terminated, can no longer request leave, and an experience letter tab appears.

Common errors:

- "The termination reason is required": Enter why the employment ends; it is kept with the record.
- "A termination is already scheduled for this employee": To change the date, reactivate the employee (this cancels the scheduled termination) and terminate again.

#### How to configure leave types and holidays in Eldalala

Match leave entitlements and public holidays to your policy. Who can do it: HR Admin (leave.manage).

Before you start:

- New companies already have default leave types and the country’s holidays; review them before go-live.

Steps:

1. Open Leaves → Leave Types. Check Days / Year and Approval for each type.
2. Click Add Leave Type to add one: English and Arabic name, days per year, calendar colour.
3. Set the policy on the same form: how days are earned (all at once each year, or monthly), whether unused days carry into next year (with a maximum and an expiry in months), more days with longer service, whether half days are allowed, whether a document is required, and how many days after it started an employee may still file. Turn on “No balance needed” for unpaid leave.
4. Open Leaves → Holidays and click Add Holiday for anything missing. Mark yearly holidays as recurring. Each December use the “Add [year] public holidays” button (it shows next year’s number); Eid and the other moon-based dates are added by hand once they are announced.

Expected result: Employees get a balance automatically, pro-rated from their hire date, and it renews every 1 January using these rules. Holidays are skipped when counting leave days; adding or changing one recounts leave that is already requested.

Common errors:

- "Days per year must be 0–365.": Enter a whole number in that range.
- "A leave type that is in use cannot be deleted": Requests or balances already use it. Rename it instead, or stop offering it.

#### How to approve or reject leave in Eldalala

Decide on leave requests waiting for HR. Who can do it: Anyone with leave.approve who is the request’s approver. Nobody approves their own leave.

Steps:

1. Open Approvals. Filter to Leave request.
2. Click Show details to read dates, type and notes.
3. Click Approve, or Reject and give a reason.

Expected result: Approved days move from pending to used; the employee gets an email and an in-app notification.

Common errors:

- "Cannot approve leave requests with a start date in the past.": Managers cannot approve a request after its start; ask HR, who can approve it, or file a corrected request on the employee’s behalf.
- "You cannot approve your own leave request.": Another approver must decide it.
- "Rejection reason is mandatory.": Type a reason before rejecting.

#### How to file leave on behalf of an employee in Eldalala

Steps:

- "Leave cannot be recorded for a month whose payroll is finalized": Leave cannot be recorded into a month whose payroll is finalized; ask the company owner to void the latest finalized run first if it must change.

#### How to set up shifts, work locations and check-in rules in Eldalala

Decide working hours, lateness and where people may check in. Who can do it: HR Admin.

Before you start:

- Know each site’s coordinates.

Steps:

1. Attendance → Work Locations → Add location: name, latitude, longitude and radius in metres (10 to 100,000). "Use my current position" fills the coordinates.
2. Choose the company Policy on the same page: Off (location ignored), Flag (saved and marked for review) or Block (refused outside every radius).
3. Attendance → Shifts → Add shift: name (English and Arabic), start and end time, grace period in minutes.
4. Assign shifts to people with Bulk assign; use day overrides for one-off changes. Employees are told when a shift is assigned or changed.
5. On the same Shifts page, fill in the Company work schedule: working days (every other day is the weekend), default start and end time, grace period, Night shift if the day crosses midnight, and the company timezone. It applies to everyone who has no shift.

Expected result: Check-ins are judged against the shift (late after the grace period) on the company’s own clock and, under Flag or Block, the work locations. Leave and attendance use the same weekend.

Common errors:

- "Radius must be at least 10.": Use 10 metres or more.

#### How to set up who approves a request in Eldalala

Decide which people approve leave, expenses, loans and the other requests, and in what order. Who can do it: HR Admin or Company Owner.

Before you start:

- Know who approves each kind of request.

Steps:

1. Settings → Approval Workflows → New workflow: give it a name and choose the Request type (leave requests, expense claims, employee loans, salary advances, job offers, performance decisions or payroll finalization), then Save.
2. The step editor opens with one step, the employee’s direct manager. Add steps for a role (for example Finance) or a named person, reorder them, mark steps that run in parallel and set an SLA in hours. Save steps.
3. Activate the workflow. New requests of that type follow it, and any other active workflow for the same request type is switched off.
4. To see where a request is stuck, open it in Approvals: it shows who it is waiting on, the step number and any escalation. To retire a workflow, deactivate it; one that has been used is kept in the history, not deleted, and a workflow with pending requests cannot be deleted.

Expected result: Requests of that type reach each approver in turn, and overdue steps escalate. An approver who has no login or is disabled is skipped in favour of HR.

Common errors:

- "The target type field is required.": Choose a Request type before saving.
- "This workflow cannot be deleted": It is active or has requests in progress. Deactivate it and let them finish; used workflows are retired rather than removed.

#### How to assign a course and track completion in Eldalala

Give people the training they need and see who finished it. Who can do it: HR Admin.

Before you start:

- The course content or link is ready.

Steps:

1. Learning → Courses → New course: fill in the course and save.
2. Open the course and choose Assign: pick an employee, a department or a role, and optionally mark it mandatory with a due date.
3. Employees see it under My learning with the Mandatory flag and due date; completing it issues a certificate they can download.

Expected result: The Assigned and Completed columns show progress per course.

Common errors:

- "This course assignment has already been completed and cannot be unassigned.": Completed assignments stay as training history.

#### How to fulfil an employee document request in Eldalala

Answer requests for salary certificates, employment and experience letters. Who can do it: HR Admin.

Before you start:

- A document template, if you generate letters from one.

Steps:

1. Employees ask under Document requests → Request a document: document type (salary certificate, employment letter, experience letter or other) and an optional note.
2. HR: Documents → Document requests, filter Pending, then Fulfill the request by attaching the document.

Expected result: The request turns Fulfilled and the employee can download the document.

Common errors:

- "The employee must be terminated before an experience letter can be generated.": Experience letters are for former employees; finish offboarding first.
- "The employee still has outstanding assets to return.": Mark every assigned asset as returned.

#### How to design and publish an email or document template in Eldalala

Give a notification email or an HR letter the company’s look and wording in Arabic and English, and decide when it goes live. Who can do it: Company Owner, or an HR user whose role holds email_templates.manage (emails) or document_templates.manage (documents). HR Admin holds both.

Before you start:

- The company logo uploaded by the company owner in Settings → General, if you want it in the brand block (otherwise the company name is shown).
- The company address, phone, email and website filled in, if you use a document footer.

Steps:

1. Open **Settings → Email templates** or **Documents → Templates** and choose **Add template**. Pick the type and language, then **Start from**: **Recommended design** (the default), **Blank template**, or an existing template to copy.
2. The designer opens on the new template, with its first draft already saved. For an existing template, use **Open designer** on its row.
3. Drag blocks from the **Blocks** panel onto the page: text, content, button, image, section, list, divider, spacer, social links and brand (the company logo or name). Select a block to change it in **Settings**; use its toolbar to move, duplicate or delete it.
4. Put the cursor in a text and click a field in **Variables** to insert it, for example the employee’s name, or for documents **document.date** and **document.reference**. Only the fields listed there are filled in.
5. Check the layout with the **Desktop / Tablet / Mobile** switch. Undo and redo with Ctrl+Z and Ctrl+Shift+Z. To start again from the company’s recommended layout, choose **Apply recommended design** (it can be undone).
6. Check it for real: **Send test** emails the design to your own address with sample values; **Preview PDF** shows the generated document, with sample values or a chosen employee.
7. Your changes save as a draft by themselves (the pill shows Saved). Choose **Save version** to keep a snapshot, or **Publish** to make this design the one in use. Fix anything listed under “Problems to fix”; warnings such as low contrast or “click here” links can be published after you confirm.
8. Document templates the workspace started with are **Inactive** until someone turns them on in the templates list: publish, then activate once the wording is approved. A template you add yourself is created **Active**, so publish it before anyone generates a document from it; until then a generated document holds only the template’s name.
9. Open **History** to see every version (the **Live** one is published). **Restore** adds the old content as a new version; nothing is deleted.

Expected result: The published version is the one used for generated documents and for test emails. Drafts and unpublished versions are never used.

Common errors:

- "Someone else is editing this template": Only one person edits at a time. Wait for Start editing, or Take over if they have left (after about 2 minutes) or if you are the company owner or an HR admin.
- "You are no longer editing this template": Someone took over. Download my changes to keep your unsaved work, then Reload.
- "This template changed elsewhere": Reload latest to see the newest content, or Keep mine to save yours as a new version. Both stay in the history.
- "This template is managed in the designer": After a design is published, change the subject and content in the designer, not in the plain edit form.
- "Your image library is full": The library holds 200 images or 100 MB per company. Delete unused images and upload again.
- "This image is still in use": Remove it from the template that shows it, save, then delete it.
- "System templates cannot be edited": Choose Create an editable copy; the copy belongs to your company and opens in the designer.

#### How to send a broadcast announcement in Eldalala

Reach all employees, a segment or selected people at once. Who can do it: HR Admin.

Before you start:

- A segment, if you target one (it can be created from the composer).

Steps:

1. Notifications → Broadcast → New Broadcast: write the subject and message and pick the channels (In-App, Email, Push).
2. Choose the Audience: All Employees, a Segment, or Manual Selection, and use Preview recipients to check who it reaches.
3. Send now, or Create & Schedule for later; a scheduled broadcast can be cancelled before it goes out.

Expected result: Recipients get it on the channels you picked (in-app, email, push), and the list shows how many it reached.

#### How to work the HR helpdesk queue in Eldalala

Answer employees’ tickets on time and keep track of who owns each one. Who can do it: HR agents (helpdesk.manage).

Before you start:

- At least one active person holds helpdesk.manage.

Steps:

1. Open Helpdesk. Tickets go to an active agent with the least work; a ticket with no agent is announced to every agent. Use “Assign to me” to take it, or “Assign to” to give it to a colleague.
2. Reply to the employee, or switch the reply to an internal note when it is only for the team; notes are never emailed or shown to the employee.
3. Set the status. While a ticket is Waiting, the response clock is paused; it restarts on their reply. Change the priority if needed; the deadline moves with it.
4. Resolve it. The employee can close it or reopen it, and a resolved ticket closes by itself after 7 days.

Expected result: Every ticket has an owner and a deadline; overdue tickets are escalated to all agents.

Common errors:

- "Ticket has already been claimed by another agent": Someone else took it first; reassign it if you manage the queue.

#### How to hand out and take back company assets in Eldalala

Know who holds which laptop, phone or card, and get it back at exit. Who can do it: HR Admin or Company Owner.

Steps:

1. Assets → Add asset (or Import a list): tag, name and category.
2. Assign an available asset to an employee, optionally with an expected return date.
3. The employee sees it under My assets.
4. Return it when the employee hands it back; it becomes available again.

Expected result: Outstanding assets block the experience letter until they are returned.

Common errors:

- "Asset is not available for assignment (current status: assigned).": Return it from the current holder first, or pick another asset.
- "Cannot delete an asset that is currently assigned. Return it first.": Return it, then delete or retire it.

#### How to set data retention and consent in Eldalala

Keep personal data only as long as needed and record what employees accepted. Who can do it: HR Admin or Company Owner.

Before you start:

- Your retention periods agreed with legal.

Steps:

1. Compliance → Data retention: set the retention days per entity type (candidates, terminated employees, audit logs, GPS points), with PII anonymization on or off.
2. Run now processes eligible records immediately (it cannot be undone) and reports how many; the policies also run on schedule.
3. Consent documents → Manage versions: publish a new version to change a document; employees accept it under Privacy & Consent.
4. Personal data requests on the same page lists employees’ requests for a copy of their data or for erasure, with a due date (30 days). Prepare the export, erase (only for people whose employment has ended) or decline with a reason the employee sees.
5. Audit log shows who changed what, including role changes and the exports and sensitive reads of payroll and employee data. Filter it by module, and export it with the audit_logs.view permission.

Expected result: Old candidates and former employees are anonymized, requests are answered in time, and acceptance history is kept per employee.

Common errors:

- "An active version cannot be edited.": Create a new version instead.
- "Erasure is refused for an active employee": Payroll and labor records must be kept while someone is employed. Decline the request and say so; it can be repeated after they leave.

#### How to change plan, add a card and top up usage in Eldalala

Keep the subscription and AI usage in line with what the company needs. Who can do it: Company Owner (payment actions are owner-only).

Before you start:

- A company card.
- Your email address is verified (new accounts must verify it before paying).

Steps:

1. Plan & Usage → Overview: see feature usage, entitlements, available add-ons and packages.
2. A module you have not bought stays in the sidebar with an Upgrade badge. Click it to go to the plans, with the module named. HR sees the plans but only the owner can change them.
3. Payment methods: add the card to charge. The last card on a paid plan cannot be removed; add the new one first.
4. Plans: choose a plan and billing cycle (Choose plan).
5. Top up metered features, such as AI tokens, from the add-ons list.

Expected result: The new plan or add-on applies straight away and shows in Feature Usage. If the workspace was suspended after failed payments, paying here reactivates it; until then you can read and export your data but not change it.

Common errors:

- "No default payment method on file. Add a payment method before subscribing.": Add a card under Payment methods.
- "This workspace is read-only": Its subscription is suspended or cancelled. Subscribe or change plan on this page to bring it back.
- "Selected plan is not a downgrade. Use upgrade instead.": Pick the plan with Choose plan to upgrade.

#### How to review daily attendance and fix punches in Eldalala

Steps:

1. Open Attendance → Daily. Present, Absent, Late and On leave counts are at the top; Unusual patterns lists flagged behaviour.
2. Click Manual entry to record a punch: employee, check-in and/or check-out time, and a reason (required).
3. Click Correction requests to decide on employees’ requests: Answer, then approve (optionally with the corrected times) or reject with a reply. The employee is told, and the request cannot be answered twice.

Expected result: Corrected punches appear in the daily and monthly views.

Common errors:

- "Cannot record attendance for <month>: payroll for this period has been finalized.": That month is locked. Adjust in the next period.

#### How to run monthly payroll in Eldalala

Calculate, approve and finalize a month’s payroll so employees get payslips. Who can do it: Company Owner. HR admins can review runs but not process, submit or finalize them.

Before you start:

- Salaries and allowances are on every employee record.
- Attendance and leave for the month are complete, and the month has started.
- If the company pays a reduced share during probation, it is set in Settings → General (Pay during probation, default 100%).

Steps:

1. Open Payroll → Payroll Runs and click Run Payroll.
2. Choose the month and year and confirm Run Payroll. Everyone employed in that month is included, including people on probation; people hired later in the month are paid for the days they worked. A large company shows "Calculating…" and the page updates when it is done.
3. Open the run (View Details) and check each employee’s basic, allowances, overtime, deductions and net pay. Loan instalments, salary advances, approved expense claims and the employee’s insurance share are already on the lines.
4. If a red banner says some employees could not be calculated, use "Show only errors", fix what each line says (for example a missing salary) and run payroll again. The run cannot be finalized until then.
5. To add a bonus, commission or penalty, open the employee’s Adjustments, choose the type, enter an amount and a reason. Adjustments can be changed only while the run is a draft that is not waiting for approval.
6. Click Submit for approval on the draft run. While it waits, its lines are locked; use "Withdraw from approval" to change anything.
7. Once approved, click Finalize and confirm. A warning lists employees with no bank details (IBAN). If you find a mistake before this step, use Reopen instead.

Expected result: The run is Finalized: employees receive "payslip ready" emails, expense claims are reimbursed, loan and advance deductions are recorded, the bank file is ready (the Saudi WPS file, or the bank-transfer file for Egypt) and attendance for the month is locked.

Common errors:

- "No Run Payroll button": You are signed in as an HR admin; ask the company owner.
- "Some employees could not be calculated": Open the lines marked in red, correct the salary or other detail on the employee record, then run payroll again; adjustments you added are kept.
- "The payroll cannot be changed because it is waiting for approval": Click "Withdraw from approval", make the change, then submit again.

#### How to correct a payroll after a mistake in Eldalala

Reopen a payroll that is not final, or void the latest finalized one, and process the month again. Who can do it: Company Owner.

Before you start:

- You know what to correct, for example a salary, an attendance record or an adjustment.

Steps:

1. Open the run. If it is waiting for approval, click "Withdraw from approval". If it is approved but not finalized, click Reopen. Both return it to a draft.
2. Correct the data or the adjustments, then run payroll again for the month and submit it.
3. If the run is already finalized and it is the latest one, click "Void payroll", enter the reason and confirm. The expense claims, advances and loan instalments it paid are put back, its payslips are withdrawn and the month can be processed again.
4. Read the warnings in the dialog. If a bank file was already generated or the run was exported to accounting, ask the bank or reverse the journal entry yourself: money already sent is not reversed.

Expected result: The month has a draft payroll again (or a voided run in its history). Every reopen and void is kept in the audit log with the reason.

Common errors:

- "Void payroll is not offered": Only the latest finalized run can be voided. Earlier months cannot be undone from the screen.

#### How to follow up company loans in Eldalala

See what employees owe, record a repayment made outside payroll, or write a loan off. Who can do it: HR Admin (loans.manage). Writing a loan off needs the company owner.

Before you start:

- At least one active loan.

Steps:

1. Open Loans → Company loans. The totals show how much is outstanding.
2. Open a loan to see its instalments and every movement on it.
3. Click "Record repayment" when the employee paid you directly. The amount shortens the loan from its last instalment and the loan settles when nothing is left.
4. The company owner clicks "Write off", enters the reason and confirms to stop recovery. This is kept in the audit log.

Expected result: The balance reflects what is really owed; payroll recovers only what remains. When an employee leaves, their open instalments are brought into the final payroll.

Common errors:

- "Write off is not offered": Ask the company owner; HR admins can record repayments but not write loans off.

#### How to enrol employees in medical insurance in Eldalala

Open a role, publish it, move candidates through the pipeline and make an offer. Who can do it: Recruiter or HR Admin.

Before you start:

- Recruitment is on the plan.

Steps:

1. Recruitment → Requisitions → New requisition (pick the department and the hiring manager); it goes for approval. A rejected requisition can be edited and sent again.
2. Recruitment → Job Postings → New posting from the approved requisition, add any application questions, then Copy public link to share the careers page. The posting shows only between its start and end dates.
3. Candidates apply on the public page without an account and answer your questions. You can open their CV from the candidate page.
4. Recruitment → Candidates: move each candidate through the early stages (applied, shortlisted). Interview and offer stages follow by themselves.
5. Schedule an interview from the candidate or the Interviews page and pick the panel; panel members tell you if they can attend. After the interview, click Mark completed (or submit a scorecard).
6. Create an offer from the candidate or Offers; it is approved, sent and accepted by link or signed electronically. You can edit a draft, withdraw it or send it again, and it expires by itself after its date.
7. When the offer is accepted, click Convert to employee on the candidate. If the login email already exists you are asked for another one.

Expected result: The candidate becomes an employee record, the requisition is marked Filled, the role’s postings close and onboarding starts on the hire date.

Common errors:

- "Hired is not offered": A candidate can be hired only after an offer was accepted; send the offer first.
- "The login email is already in use": Enter another email for the new employee in the conversion form.

#### How to onboard a new hire in Eldalala

3. Open the run to follow progress; accept or regenerate the AI path recommendation.

- "The start date must be a date after or equal to today.": Use today for someone who already started.

#### How to review and confirm probation in Eldalala

Before you start:

- The employee’s status is Probation with a probation length (set when adding or editing the employee).
- The employee has a manager on their record.

Steps:

1. Open Onboarding → Probation reviews. Alerts at the top list people whose probation is ending soon or has already ended without a decision.
2. A review is created automatically before the probation ends and goes to the employee’s own manager. If a manager has not answered, choose the person from the list and submit the recommendation on their behalf.
3. Open the submitted review and record the HR decision: confirm, extend (with the new end date) or terminate. A terminate decision records the last working day as today and access ends overnight.

Expected result: A confirmed employee becomes Active; an extended one stays on probation with a new end date. The decision is kept on the review.

Common errors:

- "No employees are on probation": Set the employee’s status to Probation on their record first.

#### How to offboard a leaver in Eldalala

Make sure access, equipment and the exit interview are handled. Who can do it: HR Admin (offboarding.manage).

Steps:

1. Offboarding → Runs → Start Offboarding.
2. Choose the employee and template. If a termination is already recorded the type and last working day are filled from it; otherwise enter them.
3. Follow IT access revocation and exit interviews from their own pages. The leaver receives the exit-interview invitation, and each task owner is notified.
4. When something is owed or due, such as a loan balance or unused annual leave, a finance “Final settlement” task lists it.
5. Close the run when every mandatory task is done.

Expected result: Tasks are assigned; access ends after the last working day; exit interview reminders are sent.

Common errors:

- "Record the termination first": A run can be closed only once the employee’s termination (reason and last working day) is recorded.

#### How to run a performance cycle in Eldalala

Open reviews for a period and close them with decisions. Who can do it: HR Admin (performance.cycles.manage).

Before you start:

- A review template (defaults exist from signup).

Steps:

1. Performance → Performance Cycles → New Cycle.
2. Choose who is in the cycle: everyone, certain departments or specific people. A cycle scoped to departments or people must name at least one.
3. Click Publish to open it; the people in scope are notified.
4. Follow goal approvals and reviews. On the self review list you can unlock a submitted review with a reason; the employee is told why.
5. Lock the calibration sessions (you can reopen one while the cycle is open) and propose decisions. An approved promotion, pay change or mandatory course is applied to the employee on its effective date.
6. Click Close on the cycle when you finish. It also closes by itself after its end date. Closing locks the submitted reviews and refuses further edits.

Expected result: The cycle is Published, then Closed. Employees see their calibrated rating, and approved decisions are reflected on their records.

Common errors:

- "A department or employee scope is required to publish": Pick at least one department or person, or choose all employees.
- "Reviews cannot be changed after the cycle is closed": Closed cycles are final. Open a new cycle for further reviews.

#### How to check roles and permissions in Eldalala

Steps:

1. Settings → Roles & Permissions lists each role, its permission count and its users.
2. Open a role to change its permissions. What a role holds decides what its members can open: for example payroll, the audit log, email templates, API keys and webhooks each need their own permission. The Company Owner role is read-only and the standard roles cannot be deleted.
3. Settings → Users shows Invitations sent. Resend one that expired, or withdraw one you sent by mistake. To hand over ownership, give another admin the Company Owner role; the last owner cannot lose it.
4. If someone loses their phone, open them in Users and use the two-factor reset: enter your own password and a reason. They are signed out everywhere and emailed.

Expected result: Standard roles exist for every company: Company Owner, HR Admin, Recruiter, Manager, Employee. Every change to a role is in the Audit log with who made it and who was affected.

Common errors:

- "Your role does not include access to this area": The role lacks the permission the screen needs; add it in Roles & Permissions or assign HR Admin.
- "The company must keep a Company Owner": Give another person the Company Owner role first.

3. Some types need a document, such as a medical certificate: attach a PDF or image up to 5 MB.
4. Check your remaining days under My leave balances.

Expected result: Your request is Pending until your approver decides (some types are approved at once); you get an email either way, and a rejection shows the reason.

Common errors:

- "Insufficient leave balance": Shorten the request or ask HR.
- "No balance yet, ask HR": Your balance is created automatically from your hire date; if it is missing, HR can allocate it.
- "A document is required": Attach the supporting file for this leave type, or ask HR to file it for you.

- Working days exclude weekends (set in the company work schedule) and company holidays. A one-day request can be a half day.
- The request form shows how many days will be counted before you submit.
- A request crossing 31 December is split per year and each year’s balance is checked. Balances are created automatically from the hire date and renew each January.
- Some leave types need a supporting document, such as a medical certificate, and some can only be filed a few days after they started; HR can record older leave.
- Nobody can approve their own leave, and a manager cannot approve a request directly once its start date has passed; HR can.
- Cancelling a request withdraws it from the approver’s list and returns the days.

### Approval SLA and escalation

- Each step has a deadline: 48 hours unless the workflow sets another one for that step.

- An approver without a login, or who has left, is skipped and the request goes to HR so it is never stuck.

- Candidates confirm interviews and answer offers from a link in their email; they do not need an account.
- The pipeline follows what happens: scheduling and completing an interview and sending and answering an offer move the candidate for you, and every change is recorded with who made it.
- An offer that passes its date expires by itself; HR can edit a draft, withdraw a sent offer and send it again. If the offer is signed electronically, the signature accepts it.
- Rejecting a candidate cancels their open interviews and withdraws open offers; the rejection email never shows the internal reason.
- Converting an accepted offer creates the employee, closes the role’s postings and starts onboarding.

- An employee is Active, On probation, Inactive or Terminated.
- Terminating records a reason and a last working day. The employee keeps working and signing in until the end of that day; then they are marked Terminated, their access ends and their team and open approvals are handed over.
- Reactivating a former employee, or one whose termination has not taken effect yet, restores things as they were. Hire date and leave balances are kept for HR to adjust.

### Is Eldalala available in Arabic?

Yes. Arabic is the default and the interface reads right-to-left; English is one click away. Emails follow the language.

### Which countries does it support?

Egypt is the default market (EGP, Africa/Cairo, Egyptian holidays). Saudi Arabia is supported per company (SAR, Saudi holidays, EOSB, WPS).

### Who can run payroll?

Only the company owner account processes, submits and finalizes payroll, and adds bonuses or penalties to a draft. HR admins review it.

### Are employees on probation paid?

Yes. Everyone employed in the month is paid. A company can pay a reduced share while someone is on probation (Settings → General, “Pay during probation”); the default is full pay.

### What if payroll was finalized with a mistake?

The company owner can void the latest finalized payroll, with a reason, correct the data and process the month again. A payroll that is not final can simply be reopened. Money already sent to the bank is not reversed.

### How do employees get reimbursed for expenses?

After the manager and finance approve a claim, it is paid with the next payroll. It shows Reimbursed, and the employee is told, when that month’s payroll is finalized.

### Who can see the audit log and what does it record?

Roles that hold the audit-log permission (the owner and HR Admin by default). It records changes to employees, bank details, roles and many other records, plus exports and reads of sensitive data such as payroll. Entries show who did it and when.

### Can an employee ask for their data to be deleted?

They can ask from the Privacy page. HR answers within 30 days: a copy of the data is prepared on request, and erasure is carried out once employment has ended, because payroll and labor records must be kept while someone is employed.

### What happens to approvals when a manager leaves or is away?

While they are away a delegation hands their waiting requests to a colleague, and ending it returns them. When a manager leaves, the requests waiting on them move to their own manager or to HR.

### What does the Free plan include?

Up to 10 employees with leave, attendance, approvals and basic reports. Starter (up to 50 employees) adds payroll, onboarding, offboarding, performance and a small AI allowance. Growth (up to 500) adds recruitment, advanced reports, webhooks and every AI feature. A single module, or the Advanced Reports package, can be added to Free or Starter.

### Which reports are on every plan?

The reports overview, headcount, leave balances and attendance summary, on screen. Turnover, the asset reports, scheduled reports and every export are advanced reports: they come with Growth, or with the Advanced Reports package on Free and Starter. The payroll, performance, probation and recruitment reports also need their module.

### Do approved performance decisions change the employee record?

Yes. An approved promotion, pay change or training decision is applied to the employee on its effective date (immediately if that is today or past), and the change is recorded in the audit log.

### Are 360° answers really anonymous?

Anonymous answers carry no name or submit time. They stay hidden while the cycle is open and are released together after it closes, and only if at least three have arrived, so a reader cannot work out who wrote them.

### Is there a mobile app?

Not for now. The web app works on phones, so employees and managers use it in the phone’s browser.

### Do we have to enter leave balances for everyone?

No. Every employee gets a balance automatically, pro-rated from their hire date, and balances renew each January with the carry-over rules you set per leave type. Enter opening balances only for days already used or carried over from your old system.

### Which timezone does attendance use?

The company’s own, set in the work schedule on the Shifts page (the country’s timezone is used until you set one). Check-in times, lateness and what counts as today all follow it, and a night shift closes with the morning punch.

### Can employees request leave for days that have already passed?

The request form starts at today. Leave that has already started is recorded by HR (for example with the leave import), except into a month whose payroll is finalized; a leave type can allow a few days of late submission (7 for sick and emergency leave by default), which the form does not offer yet.

### Will people get an email for everything?

The company can turn email off, and each person and the company default choose which informational categories reach them by email or as a phone push. Messages that need an action or are security-related, and a few such as password reset codes, invitations and invoices, are always sent. Every notification arrives in the person’s own language and opens the page it is about.

### Who sees what employees write to HR?

Only the HR agents who handle tickets. Agents can add internal notes that the employee never sees, and tickets never appear in a company’s Slack feed.

### Can employees check in from home?

Only if the company allows it: the geofence policy can ignore location, flag outside punches, or block them.

### Can we bring data from Excel?

Yes. Imports cover employees and most other modules, with validation and review before saving.

### How do candidates apply?

On the public careers page, without an account; they confirm interviews and answer offers by link.

### What happens when an offer is not answered?

It expires on its date, the candidate goes back to the interview-completed stage and the person who created it is told. A draft never expires. HR can also withdraw a sent offer, which emails the candidate, or edit and send it again.

### Is personal data protected?

National ID, passport and bank details are encrypted at rest, changes are audited, and retention policies remove old data.

### Does the AI assistant work out of the box?

It needs an AI provider: the platform’s, or the company’s own key under Settings → AI Settings. AI chat has a monthly allowance on Starter and a larger one on Growth.

### How do approvals avoid getting stuck?

Each workflow step has an SLA (48 hours by default); overdue steps escalate hourly to the approver’s manager or an HR admin.

### Can we put our logo and layout on HR emails and letters?

Yes, in the Template Builder. Every email and document type starts from a recommended design in Arabic and English with the company logo or name. Generated documents use the published design; the app’s own notification emails do not use it yet, so today a designed email can only be checked with Send test.

### Who can change templates?

The company owner and HR users whose role holds email_templates.manage (emails) or document_templates.manage (documents); HR Admin has both. Whoever can edit can also publish; there is no separate publish permission.

### What happens if two people edit the same template?

Only one can. The second sees a read-only view naming the editor and can start editing when they leave. A company owner or HR admin can take over.

### Can we go back to an older wording?

Yes. Every saved version stays in History; Restore adds it again as a new version. Nothing is deleted.

- **Accrual**: How a leave type’s yearly days reach the balance: all at the start of the year, or a twelfth each month.
- **Allowed stages**: The only stages a candidate can be moved to by hand. Interview and offer stages follow the interview or the offer.
- **Anonymous 360° feedback**: Peer answers given without a name. They are hidden, with their ratings, until the cycle is closed and at least three have arrived.
- **Approval workflow**: Ordered steps (manager, role or named user) for a request type, with an SLA per step.
- **Approvals inbox** (الموافقات): One list of everything waiting on you.
- **Bank transfer file**: A CSV of who is paid how much, downloaded from a payroll run of an Egyptian company. It is not a bank-specific layout.
- **Block**: One piece of a designed template: text, content, button, image, section, list, divider, spacer, social links or brand.
- **Brand block**: Shows the company logo, or the company name when there is no logo. Filled in by the server when the email or PDF is produced.

- **Final settlement**: The finance task on an offboarding run that lists what the leaver owes or is owed, such as loan balances, advances, claims and unused leave.
- **Geofence policy**: Off, Flag or Block: how a check-in outside every work location radius is treated.
- **Grace period**: Minutes after shift start before a check-in counts as late.
- **Half day**: A one-day leave request for the first or the second half of the day; it counts as 0.5.
- **Handover**: What happens to a leaver’s team and work when the termination takes effect: reports move to their manager, approvals waiting on them move on, and HR gets a summary.
- **Internal note**: A helpdesk reply only agents can see; it is never emailed to the requester.
- **Invitation (company)**: An email invitation to join a company. It can be resent with a fresh expiry or withdrawn; a withdrawn invitation cannot be accepted.
- **Leave balance** (رصيد الإجازات): Per employee, type and year: entitled, pending, used and available days.
- **Leave type** (نوع الإجازة): A kind of leave with yearly days, paid flag and approval rule.
- **Manual punch**: A check-in or check-out recorded by HR, with a reason.
- **My schedule**: The page where an employee sees their shift hours, holidays and days off for the next two weeks.
- **Offboarding run**: One leaver’s checklist, typed (resignation, termination…).
- **Offer (withdrawn / expired)**: An offer HR cancelled after it was sent (Withdrawn), or one that passed its date without an answer (Expired). Neither can be accepted.

- **Payroll adjustment**: A bonus, commission, penalty or other amount the company owner adds to one employee’s line in a draft run, with a reason. Loan, advance, reimbursement and insurance lines are added by the system.
- **Payroll run** (مسير الرواتب): One month’s payroll: Draft → Approved → Finalized. A run can be reopened until it is final, and the latest finalized run can be voided.
- **Payslip** (قسيمة الراتب): An employee’s breakdown for a finalized month, downloadable as PDF in the app and linked from the email.
- **Pending days**: Days reserved by requests awaiting a decision.
- **Performance cycle**: A review period: Draft → Published → Closed.
- **Permission**: A key such as leave.approve. Holding module.entity.manage also grants the other actions under it.
- **Personal data request**: An employee’s request for a copy of their data or for its erasure, answered by HR within 30 days.
- **PIP**: Performance improvement plan.
- **Posting**: A published job with a public careers-page link.
- **Probation pay percentage**: The share of salary a company pays for days an employee is on probation (Settings → General, default 100). Confirmed employees are always paid in full.
- **Probation review**: Created before a probation ends and sent to the employee’s own manager, who recommends confirm, extend or end; HR confirms the decision.
- **Pulse survey**: A short survey sent to a chosen audience (departments or roles); employees answer it under My surveys. It can be recurring, and responses can be analyzed for sentiment.
- **Recommended design (starter)**: The ready-made design for a template type and language: 14 notification types and 5 document types, each in Arabic and English (38).
- **Requisition**: A request to open a position; needs approval before posting.
- **Salary register**: Per-employee salary components for a period, exportable.
- **Scheduled termination**: A termination that is recorded but has not taken effect: the employee keeps working and signing in until the end of the last working day, then is marked Terminated and loses access.
- **Send test**: Emails the current design to the signed-in user only, with sample values.
